Clients dump Drive folders, PDFs, and YouTube links. General chat invents citations. You need a source-grounded workflow: intake → notebook → cited answers → audio/overview → delivery — plus a clear free vs paid upgrade call after Google’s 2 Sep 2026 limit changes.

You’ll still hear “NotebookLM” in search and old bookmarks. Google’s product surface and Help Centre increasingly say Gemini Notebook. Same core job: upload sources, ask grounded questions, generate overviews. Don’t panic-rename mid-client email — say “Gemini Notebook (formerly NotebookLM)” once if needed, then stick to one name in the deliverable.

The freelance use-case: client research pack in one sitting
A research pack is a bounded deliverable, not an endless chat log. Typical shape:
1. Intake — client shares allowed sources (PDFs, docs, links). You refuse secrets (see below).
2. Notebook hygiene — one notebook per project; name sources clearly; drop duplicates.
3. Cited Q&A — you ask the questions the client hired you for; you keep answers tied to sources.
4. Overview layer — Audio Overview (and video/overview features where available) for stakeholders who won’t read 80 pages.
5. Delivery — short written brief + link/export notes + “what we did not verify outside sources.”
You’re selling judgment: which questions matter, what to flag as thin evidence, and a clean package. The model is the summariser — you are the editor.

Free vs Plus / Pro / Ultra limits that matter after 2 Sep 2026
Google Help documents usage-limit changes starting 2 Sep 2026 and a plan table for Gemini Notebook (Upgrade Gemini Notebook).

Help also notes daily/monthly quota reset behaviour, that sharing a notebook does not change another collaborator’s source limit, and that some auto-generated artifacts on first add may not count against limits. Audio and cinematic video overviews appear as upgraded capabilities — exact daily caps should be read from the live Help table for your region, not invented here.

Workflow template (sheet): intake → hygiene → delivery
Intake checklist- Written list of sources client allows
- File formats OK for upload
- Deadline + delivery formats (PDF brief / Audio / both)
- Citation style they want (page quotes vs paraphrase)
- What is out of scope (web research beyond sources, legal opinions, etc.)
- One notebook per engagement
- Rename sources with dates
- Remove drafts that confuse the model
- Pin the 5–10 questions you will always run
- Written 1–3 page brief with source-tied bullets
- Optional Audio Overview link + “listen while commuting” note
- Appendix: unanswered questions / weak evidence
What not to upload (secrets, personal data, competitor NDAs)
Do not upload:
- Passwords, API keys, private keys
- Employee PII, medical, or payroll files unless you have a clear lawful basis and the client’s written instruction in a compliant setup
- Competitor materials under NDA that forbid AI processing
- Anything the client’s security team has not approved for consumer AI tools
If the answer is “maybe,” keep it out. Use redacted excerpts or stay inside the client’s approved Workspace / Cloud setup. Freelancers lose trust faster than they lose a fee.
When to stay free vs when Google AI Pro is the upgrade
Stay free / Standard when: one light pack a week, few sources, you’re building portfolio samples from public PDFs. Upgrade awareness (Plus / Pro / Ultra via Google AI plans) when: you hit notebook or source ceilings, you need higher overview limits for client volume, or collaborators need paid sharing features Help lists for paid users.Don’t buy Ultra “because research packs sound premium” if Pro already clears your weekly source count. How I price the pack without inventing earnings stories
I don’t publish fake “R→$” nets here. What I do is separate time blocks so the fee isn’t a mystery to me:
- Source prep — rename, dedupe, redact (often longer than the AI step).
- Question design — the client’s real decisions, not “summarise everything.”
- Model pass — notebook Q&A + overview generation.
- Human edit — cut hallucinations, mark thin evidence, format delivery.
If source prep dominates, say so in the quote. Gemini Notebook doesn’t remove the boring work; it compresses the reading. Clients who send forty messy PDFs are buying your intake hygiene as much as the overview.
Sample question set (steal and adapt)
Use a fixed set so every pack feels consistent:
1. What are the top five claims the sources actually support?
2. Where do sources disagree?
3. What numbers appear, and which documents own them?
4. What is missing that a decision-maker would still need?
5. What should not be concluded from these files alone?
Paste those into the notebook after sources load. Save the answers into your brief template. That rhythm is what makes the deliverable feel like research, not a chatbot dump.
SA / region packaging (not the main story)
Google AI plan availability differs by country. Before you sell a Pro-backed turnaround to a local client, open the live Google One / AI plans page while logged into the account you’ll use. If Pro isn’t offered, either stay on Standard limits, use a region where the client’s Workspace already has access, or decline the rush job. Don’t invent a ZAR sticker price from a US blog screenshot.
This week — build one pack from three public PDFs as a portfolio sample
Pick three public PDFs (standards docs, government reports, open research). Build a notebook. Write a one-page brief with citations. Generate one Audio Overview if your tier allows. Put the pack on your portfolio as a sample — label it as public-source demo work.
